Colloquium Approval by HOD
The colloquium is where the registered candidate of doctoral study programmes present their ongoing research carried out within the framework of their Ph.d Thesis.
- The candidate who has nearly completed his research work shall present a colloquium based on the work carried out, with consent from the guiding teacher/s.
- The colloquium will be arranged by the Department concerned with a suitable notice and will be open to all.The suggestions received during the colloquium should be suitably incorporated in the draft thesis under the advice of the guide.
- The colloquium shall be in the presence of the respective Head of Department or his nominee, and the research guide.

Pre-requisites
- Candidates colloquium request must be approved by Guide and Infrastructure authority
Terminologies Used
- Guide : Guide shall mean a member of the academic staff of the University/Constituent Unit, who guide/supervise the research work of the candidate.
- HOD : Head of the Department
- Dean : The head of a university faculty or department.
- Referee : A referee is someone who has been given the responsibility of evaluating the suitability of thesis and the candidate for the award of PG and Ph.d.
- Convocation Year : Convocation means a large, formal meeting, esp. for the ceremony at a university at the end of a course of study.We can define period to identify candidate who have registered or accomplished their Synopsis & Thesis in defined Convocation Year.
Functionality
1) Approve
- HOD will be able to check and download candidates Colloquium details in PDF format which includes Candidate registration,Submission,Scheduled date, Venue, and authority details from Pending Tab.
- HOD can approve the request and it will be sent to the next higher authority for approval once approved by HOD.
- HOD will be able to check list of candidates details whose colloquium is approved in Approved Student List.
2) Send back to Students
- HOD can send back candidates request with Remark in case of not available,want to change schedule or any other reason.
- If HOD choose an option of send back to students, candidate will be able to resubmit it with suggested changes.After re-submission by candidate,request will be sent to all concerned authorities again for approval.
- HOD can check Sent back candidate list in Sent Back to Student List tab.
